Home → Clientflow vs Salesforce
Zoho has built an impressive suite of business software over two decades. Zoho CRM is genuinely affordable, feature-rich, and well-regarded among small and medium businesses worldwide. The wider Zoho ecosystem - covering CRM, email marketing, social media, booking, e-signatures, desk, accounting, and more - is extensive.
The challenge for Australian services businesses is how that ecosystem is sold. Zoho’s products are largely separate subscriptions, each with their own pricing, each requiring their own configuration, and each needing to be connected to the others to work as a system.
Clientflow is a single platform where CRM, marketing automation, email, SMS, landing pages, funnels, booking, invoicing, reputation management, call tracking, AI chatbot, Voice AI, and social scheduling are all included for $345/month inc GST.
This page compares both approaches - feature by feature and dollar by dollar - for an established Australian services business with 3 to 20 team members.
Zoho is an ecosystem of 50+ separate business applications. Zoho CRM handles contact management and pipeline tracking. Marketing automation requires Zoho Campaigns (separate product). Email deliverability setup requires ZeptoMail (separate product). Appointment booking requires Zoho Bookings (separate product). E-signatures require Zoho Sign (separate product). Social media management requires Zoho Social (separate product). Accounting requires Zoho Books (separate product). Help desk requires Zoho Desk (separate product).
All of these products integrate with each other within the Zoho ecosystem, which is a genuine strength. But each one has its own subscription, its own learning curve, and its own configuration requirements. Zoho One bundles 50+ apps together at US$37-90/user/month (all-employee or flexible pricing), which is more cost-effective than buying each product separately - but still requires the same configuration effort across a complex multi-product environment.
Clientflow is a single platform. Not an ecosystem - a single product where every function shares the same database, the same pipeline, the same dashboard, and the same workflow automation engine. When a lead fills out a form on your landing page, they appear in your CRM. When they book a consultation, the booking is logged against their contact record. When they move through your pipeline, automation triggers. When the engagement ends, the review request goes out and the retention sequence begins. No connections to configure. No syncing to manage. One login. One dashboard.
There are two ways to approach Zoho for a services business.
Option 1: Buy individual Zoho products
This is the most common path for businesses that start with Zoho CRM and add products as needed. It produces the most visible version of the “separate products” problem.
A 5-person services business buying individual Zoho products to match Clientflow’s functionality would need:
Zoho CRM Professional (5 users, annual billing): US$23/user/month x 5 = US$115/month (~AUD$167/month inc GST)
Zoho Campaigns (Professional, 5,000 contacts): ~US$47/month (~AUD$68/month inc GST)
Zoho Bookings (Professional, 5 users): ~US$15/user/month x 5 = US$75/month (~AUD$109/month inc GST)
Zoho Social (Agency plan for scheduling and tracking): ~US$40/month (~AUD$58/month inc GST)
Zoho Sign (Professional, 5 users): ~US$12/user/month x 5 = US$60/month (~AUD$87/month inc GST)
Zoho Desk (Standard, 5 users for client support ticketing): ~US$14/user/month x 5 = US$70/month (~AUD$102/month inc GST)
Subtotal (Zoho products only): ~AUD$591/month inc GST
Missing from this stack:
Sales funnel builder (not available in Zoho - requires ClickFunnels ~$165/month or similar). Website builder and hosting (not available in Zoho CRM - requires separate hosting). Reputation management and automated Google review requests (not available in Zoho - requires Cloutly ~$76/month or similar). Call tracking and VOIP (not available in Zoho without Zoho PhoneBridge add-on + third-party carrier). Voice AI for phone call handling (not available in Zoho). Video hosting and online courses (not available in Zoho - requires Kajabi ~$149/month or similar). AI chatbot for 24/7 lead capture (limited in Zoho without Zoho SalesIQ Professional at additional cost).
Total monthly cost with essential add-ons to match Clientflow: ~AUD$1,000-1,200/month inc GST
Option 2: Zoho One (the bundle)
Zoho One bundles 50+ Zoho applications into a single subscription. There are two pricing models:
Zoho One Flexible (per user, not all employees): ~US$90/user/month (~AUD$131/user/month inc GST)
For a 5-person team: US$450/month (~AUD$653/month inc GST, annual billing)
Zoho One All-Employee (every team member must be licensed): ~US$37/user/month (~AUD$54/user/month inc GST)
For a 5-person team: US$185/month (~AUD$268/month inc GST, annual billing)
Zoho One All-Employee is significantly more affordable, but requires every person in your organisation to be licensed - not just those who need CRM and marketing access. For a 5-person services business, this likely works. For a 10-person business where only 5 people need the platform, it doubles the per-seat cost.
Zoho One is the most cost-competitive Zoho option for a services business that needs multiple Zoho products. However, it still doesn’t include native sales funnel building, reputation management, Voice AI, or automated Google review management - tools Clientflow includes.
| Zoho (individual products) | Zoho One (all-employee, 5 users) | Clientflow | |
|---|---|---|---|
| Monthly cost (platform) | ~AUD$591/month | ~AUD$268/month | AUD$345/month |
| Monthly cost (with add-ons to match features) | ~AUD$1,000-1,200/month | ~AUD$600-800/month | AUD$345/month |
| Annual cost (with add-ons) | ~AUD$12,000-14,400 | ~AUD$7,200-9,600 | AUD$4,140 |
| Number of separate products to configure | 6-8+ | 50+ available, still requires configuration | 1 |

CRM and Pipeline Management
Zoho CRM: Zoho CRM is genuinely strong for pipeline management. Contact management, lead tracking, deal stages, custom fields, workflow automation, and reporting dashboards are all well-developed. The free tier supports up to 3 users for basic CRM. The Professional plan (US$23/user/month) adds Blueprint process management, inventory management, and advanced automation. The Enterprise plan adds Zia AI assistance, custom modules, and territory management.
Clientflow: Full CRM with unlimited pipelines, unlimited custom fields, opportunity tracking with custom stages, contact and company management, and real-time reporting dashboards.
Bottom line: Both platforms deliver strong CRM pipeline management. Zoho CRM Professional is more affordable on a per-user basis. Clientflow includes everything in the flat monthly rate with no per-user charges.
Marketing Automation and Email
Zoho: Zoho CRM includes basic workflow automation for sales processes. Email marketing requires a separate Zoho Campaigns subscription. Zoho Campaigns has a free tier for up to 2,000 contacts (6,000 emails/month). Paid plans start at ~US$3.50/month (Standard, annual billing, 500 contacts) and scale by contact count. Automation workflows are available on the Professional plan. Notably, Zoho Campaigns and Zoho CRM are separate products that integrate - contacts must be synced between them, and the sync can create complications when contacts exist in one system but not the other.
Zoho Marketing Automation (a separate product from both CRM and Campaigns) handles multi-channel marketing across email, SMS, and social - but again requires a separate subscription and configuration.
Clientflow: Email marketing, automated sequences, and multi-step workflow automation with conditional logic are all included in the single subscription. The CRM and email marketing share the same database natively - no sync required.
Bottom line: Zoho’s email and marketing automation capabilities are comparable to Clientflow’s when the right combination of products is configured. The critical difference is that Clientflow’s email and CRM share the same database natively, while Zoho requires syncing between separate products.
SMS Marketing
Zoho: SMS marketing is available through Zoho Campaigns as a credit-based add-on. Australian SMS is supported through Zoho Campaigns. The credits are purchased separately on top of any Zoho Campaigns subscription. Two-way SMS automation (triggering workflows from incoming texts) is more limited in Zoho Campaigns compared to Clientflow’s native 2-way SMS capability.
Clientflow: Native 2-way SMS included. Send and receive texts, trigger automated workflows from incoming replies, manage SMS conversations in the unified inbox, and run complete SMS-based nurture sequences. Users pay Twilio directly for carrier costs.
Bottom line: Zoho Campaigns supports outbound SMS with Australian coverage. Clientflow’s native 2-way SMS with full workflow integration is more complete, and is included in the base subscription without separate credit purchases.
Landing Pages and Sales Funnels
Zoho: Zoho CRM and Zoho Campaigns include basic web form builders and landing page functionality. Neither provides a multi-step sales funnel builder. For services businesses that use quiz funnels, webinar registration funnels, lead magnet funnels, or multi-step booking funnels, there is no native Zoho solution. This requires a separate third-party tool such as ClickFunnels or Leadpages.
Clientflow: Unlimited landing pages and sales funnels included. Drag-and-drop builder with over 1,000 templates. Quiz funnels, webinar funnels, lead magnet funnels, and booking funnels all built within the platform. Website builder and hosting also included.
Bottom line: Clientflow includes a full funnel builder and website hosting. This capability does not exist natively in Zoho and requires a separate paid tool.
Appointment Scheduling
Zoho: Zoho Bookings is a dedicated scheduling product (separate from Zoho CRM). It handles appointment scheduling with calendar integrations, self-service booking pages, and automated reminders. Automated no-show follow-up and rebooking sequences require Zoho CRM workflow integration.
Clientflow: Full appointment scheduling with automated confirmation, reminders, no-show follow-up and rebooking sequences, and rooms and equipment scheduling. Booking integrates directly with pipeline stages and workflow automations.
Bottom line: Zoho Bookings is a dedicated scheduling product with solid functionality. Clientflow’s scheduling has the advantage of being fully native - a no-show automatically triggers a workflow, moves a pipeline stage, and sends a rebooking sequence without any cross-product configuration.
Invoicing and E-Signatures
Zoho: Zoho Books handles invoicing and accounting. Zoho Sign handles e-signatures. Both are separate products from Zoho CRM, requiring separate subscriptions and their own configuration. Zoho Books has solid invoicing with Australian GST support, BAS reporting, and accounting features that go well beyond what Clientflow offers.
Clientflow: Quotes, invoicing, and e-signatures included in the base subscription. One-click quote-to-invoice conversion. Less feature-rich than Zoho Books for full accounting purposes, but covers the core invoicing needs of services businesses.
Bottom line: If you need full accounting software (BAS, profit and loss, bank reconciliation), Zoho Books is a strong option and may remain a useful tool alongside Clientflow. For basic quoting, invoicing, and e-signatures within your CRM workflow, Clientflow includes this natively. Note that Zoho Books integrates with Xero for Australian businesses that need dedicated accounting software alongside their CRM.
Reputation and Review Management
Zoho: Not available natively across any Zoho product. Automated Google review requests, review monitoring, and social posting of five-star reviews require a third-party tool.
Clientflow: Automated Google review requests, review response automation, and automatic posting of five-star reviews to social media channels. Included.
Bottom line: Clientflow includes reputation management. This function is not available natively in the Zoho ecosystem.
Call Tracking
Zoho: Zoho PhoneBridge integrates Zoho CRM with third-party phone systems for call logging and recording. Full call tracking (which marketing channels drive phone enquiries) requires a third-party tool.
Clientflow: VOIP integration with call tracking, recording, and an IVR phone system included.
Bottom line: Clientflow includes native call tracking and IVR. Zoho requires third-party integration.
Social Media Scheduling
Zoho: Zoho Social is a dedicated social media management product. It handles scheduling, monitoring, and publishing across multiple channels, with team collaboration features. It is a separate subscription. Zoho One includes Zoho Social.
Clientflow: Social media scheduling and tracking included in the base subscription.
Bottom line: Zoho Social is a solid product for social media management. Clientflow includes basic social scheduling in the base subscription. Businesses with sophisticated social media management needs may find Zoho Social more feature-rich.
AI Capabilities
Zoho: Zia is Zoho’s AI assistant, integrated across Zoho CRM and other Zoho products. It provides sales predictions, lead scoring, anomaly detection, next-best-action recommendations, email sentiment analysis, and contact activity suggestions. Zia is available from the Enterprise plan of Zoho CRM (US$40/user/month) upward. Zoho also offers AI agents through Zoho Agents (in development as of 2026) and AI workflow assistance across the platform.
Clientflow: The underlying GoHighLevel platform includes a comprehensive AI suite: Conversation AI for automated engagement across SMS, Facebook, Instagram, WhatsApp, and live chat. Voice AI for answering inbound calls, qualifying leads, and booking appointments automatically - acting as a 24/7 AI receptionist. Content AI for generating copy, emails, and social posts. Funnel and Website AI for building pages from prompts. Workflow AI Builder for constructing automations with AI assistance. Ask AI for answering questions about your data and account. Reviews AI for automated review responses. Agent Studio for building advanced multi-step AI automations connecting to external tools and data sources.
Bottom line: Zoho’s Zia AI is strong for sales prediction, lead scoring, and anomaly detection within the CRM. Clientflow’s AI suite is broader in client-facing functions, with Voice AI for phone call handling and Conversation AI across multiple channels being particular strengths not available in Zoho. For sales intelligence, Zia is more developed. For client-facing AI that replaces or augments staff functions, Clientflow’s suite is more comprehensive.
Website Builder and Hosting
Zoho: Zoho Sites is a separate website builder product. Basic plan is free; paid plans start at US$3-10/month. It integrates with Zoho CRM and other Zoho products.
Clientflow: Website builder and hosting included in the $345/month subscription. Unlimited pages, blog publishing, and custom domain support.
Bottom line: Both platforms include website building. Zoho Sites is a separate product with a separate subscription. Clientflow includes website hosting as part of the all-in-one subscription.
Video Hosting and Online Courses
Zoho: Not available natively in Zoho CRM or Zoho One. Zoho Learn is a separate LMS product for team training. Client-facing course delivery for services businesses (e.g. onboarding courses, educational content) is not a native Zoho capability and requires a separate platform.
Clientflow: Video hosting and online courses included. Create client onboarding courses, educational content, and team training materials without a separate subscription.
Bottom line: Clientflow includes course and video hosting. This is not available natively in the Zoho ecosystem for client-facing use.
Community Building
Zoho: Not available natively. Requires Circle, Slack, or similar third-party tools.
Clientflow: Community building included in the platform.
Bottom line: Clientflow includes this; Zoho does not natively.
Onboarding and Support
Zoho: Zoho products are designed for self-service setup. Documentation, community forums, and Zoho University training resources are available. Paid onboarding and implementation services are available from Zoho partners at additional cost. Support is primarily India-based. Classic support (8x5) is included with all paid plans. Premium and Enterprise support plans (24/5 or 24/7) are available at additional cost.
Clientflow: White-glove onboarding included at no extra cost. A dedicated onboarding specialist handles data migration, system configuration (including full email authentication setup), and 5 hours of one-on-one training. Ongoing support from the same Australian-based team that built your setup. No re-explaining your business from scratch.
Bottom line: Zoho’s self-service setup model works well for technically confident users willing to invest time in configuration across multiple products. For services business owners who want a system set up by experts and supported by people who know their account, Clientflow’s white-glove model is fundamentally different.
Zoho has invested for two decades in building a comprehensive business application suite. Zoho One bundles 50+ applications - CRM, email, social, accounting, HR, project management, help desk, analytics, forms, surveys, sign, meeting, webinar, inventory, and more. For businesses that want a single vendor relationship covering most of their technology needs, the breadth of Zoho’s ecosystem is unmatched at its price point.
Zoho Books, in particular, is a strong accounting platform for Australian businesses. With GST management, BAS reporting, bank reconciliation, and payroll features, it competes directly with Xero and MYOB at a lower price point. If full accounting software is a requirement alongside CRM and marketing, Zoho’s ecosystem may be the right choice.
Zia’s sales intelligence features - predictive lead scoring, anomaly detection, and next-best-action recommendations - are more mature than Clientflow’s sales-specific AI capabilities. For larger sales teams managing high volumes of leads across multiple pipelines, Zia provides insights that Clientflow doesn’t match.
Zoho CRM’s free tier (up to 3 users) is also a genuine entry point for very small teams starting their CRM journey. There’s no comparable free option in Clientflow.
Single platform, single subscription. Every function Clientflow provides - CRM, email automation, SMS, funnels, booking, invoicing, reputation management, call tracking, social scheduling, AI chatbot, Voice AI, courses - shares the same database and the same workflow automation engine. No products to connect. No syncing to manage. No additional subscriptions required.
Total cost of ownership. Configuring Zoho to match Clientflow’s included capabilities across individual products costs approximately AUD$1,000-1,200/month. Zoho One (all-employee, 5 users) with necessary add-ons runs approximately AUD$600-800/month. Clientflow delivers the same capability for AUD$345/month flat.
Funnel building included. Clientflow includes a full multi-step sales funnel builder with over 1,000 templates. No Zoho product provides native funnel building for services businesses.
Reputation management included. Automated Google review requests, review monitoring, and social posting of positive reviews are included in Clientflow. No Zoho product provides this natively.
Voice AI for phone call handling. Clientflow’s Voice AI answers inbound calls, qualifies leads, and books appointments automatically. No Zoho product offers comparable Voice AI capabilities.
Australian-based support. Clientflow support comes from the same Australian-based team that built your setup. Zoho’s standard support is India-based, with phone support available during Australian business hours on paid plans. The quality varies, and the support team has no prior knowledge of your specific setup.
White-glove onboarding with data migration. Clientflow includes full data migration, system configuration, and 5 hours of one-on-one training at no extra cost. Zoho’s onboarding is self-service, with paid onboarding packages available from Zoho partners.
No per-user pricing. Clientflow includes unlimited users at a flat rate. Zoho CRM’s per-user pricing means every team member added to the platform increases the monthly bill.
Zoho is the right choice for businesses that want a comprehensive ecosystem of business applications covering CRM, accounting, HR, project management, help desk, and more under one vendor relationship - particularly if Zoho Books’ Australian accounting features (GST, BAS, payroll) are required alongside CRM and marketing.
Zoho One at the all-employee pricing model is also worth considering for businesses with 10+ team members where the per-seat cost becomes competitive. For very small teams (1-3 users) that need a free CRM to get started, Zoho CRM’s free tier is a genuine option.
For technically confident business owners who enjoy configuring software and have the time to set up and maintain a multi-product ecosystem, Zoho provides excellent value at the individual product level.
Clientflow is the right choice for established Australian services businesses with 3 to 20 team members that want a complete marketing and client management system on one platform - without assembling, configuring, and paying for multiple separate products.
If you value Australian-based support from a team that knows your business, white-glove onboarding with data migration at no extra cost, funnel building and reputation management included out of the box, and a flat monthly rate with no per-user charges - Clientflow is the more complete and better-supported choice for the way Australian services businesses actually operate.
Zoho supports Australian businesses and its products work in Australia. Zoho Books has solid Australian GST and BAS support. Zoho CRM includes Australian data as part of its global infrastructure. However, Zoho’s support is India-based, and many capabilities relevant to Australian services businesses (funnel building, reputation management, Voice AI) are not available natively and require third-party tools.
Zoho CRM is a standalone CRM product, available from free to US$52/user/month. Zoho One is a bundle of 50+ Zoho applications for US$37-90/user/month depending on the licensing model. Zoho One includes Zoho CRM along with email marketing, accounting, social media, HR, project management, help desk, and more. For services businesses needing multiple Zoho products, Zoho One is usually more cost-effective than buying each product separately.
No. Zoho CRM and Zoho Campaigns include basic landing page and form functionality, but there is no multi-step sales funnel builder in the Zoho ecosystem. Businesses that need quiz funnels, webinar registration funnels, or multi-step booking funnels need a separate third-party tool.
No. Automated review requests, review monitoring, and social posting of positive reviews are not available natively in any Zoho product. This requires a separate reputation management tool.
Yes - Zoho Sites is a separate website builder product available within the Zoho ecosystem. It is a basic website builder and is separate from Zoho CRM. Zoho One includes Zoho Sites.
No. Clientflow is built on GoHighLevel (HighLevel), a separate all-in-one marketing and CRM platform. Zoho is a distinct ecosystem of independent applications.
